What personal information we collect Depending on our relationship with you, we may collect the following types of personal information: • Identity and contact details, such as your name, email address, phone number, and postal address; • Financial and taxation information necessary to provide our accounting, bookkeeping, tax and advisory services; • Business information relating to your organisation, where you are a business client; • Information you provide when you contact us, subscribe to our communications, or use our services. 2. How we collect your information We collect personal information directly from you where possible — for example, when you engage our services, complete a form, correspond with us, or provide documents. In some cases we may collect information from third parties, such as government agencies, your other advisers, or publicly available sources, where it is reasonably necessary to provide our services and where permitted by law. 3. Why we collect, hold and use your information We collect, hold and use your personal information for purposes including: • Providing accounting, bookkeeping, taxation and advisory services; • Communicating with you about your affairs and our services; • Meeting our legal, regulatory and professional obligations; • Sending you marketing and informational communications, such as newsletters and updates, where you have not opted out; • Improving and administering our services and business operations. 4. Marketing communications From time to time we may send you marketing communications, such as newsletters, service updates and relevant information, using the contact details we hold. We will only do so where this is permitted under the Privacy Act and the Spam Act 2003 (Cth). Every marketing communication we send will include a simple way to opt out or unsubscribe. If you no longer wish to receive marketing communications from us, you can unsubscribe using the link provided in the message or by contacting us using the details below. Disclosure to third parties and third-party service providers We may disclose your personal information to third parties in the following circumstances: • To trusted third-party service providers who perform functions on our behalf, including cloud software, data processing, automation and email marketing platforms; • To government agencies, regulators and other bodies where required or authorised by law; • To your other professional advisers, where you have authorised us to do so. Specifically, in order to manage our client communications and marketing, we use the following third-party service providers, which may store and process your contact information (such as your name and email address): Xero / Xero Practice Manager – cloud-based accounting and practice management software used to manage client records. Zapier – a workflow automation platform used to securely transfer client contact details between our systems. Mailchimp – an email marketing platform used to send newsletters and marketing communications to clients who have not opted out. These providers are only permitted to use your information for the purpose of providing their services to us. Each maintains its own security and privacy standards. 6. Overseas disclosure Some of our third-party service providers, including Zapier and Mailchimp, are located in or store data in the United States. As a result, your personal information may be stored or processed overseas. Where we disclose personal information to overseas recipients, we take reasonable steps to ensure it is handled in accordance with the Australian Privacy Principles. By providing your information to us, you consent to this overseas disclosure. 7. How we store and protect your information We take reasonable steps to protect the personal information we hold from misuse, interference, loss, and unauthorised access, modification or disclosure. These steps include the use of reputable cloud service providers, access controls, encryption in transit and at rest where applicable, and secure authentication. Where we no longer require your personal information and are not legally required to retain it, we take reasonable steps to destroy or de-identify it. 8. Accessing and correcting your information You have the right to request access to the personal information we hold about you, and to request that we correct it if it is inaccurate, out of date, incomplete or misleading. There is no charge for making a request, although we may charge a reasonable fee for providing access in certain circumstances. 9.
